Clinical facility cleaning doesn't work well when it runs on informal agreements and verbal instructions. Every account we take on follows a documented process: a written scope before the first clean, a crew briefing on your specific protocols, and a 30-day check-in with the practice manager. Here's what that looks like in sequence.
Walkthrough and assessment
We walk the facility with the practice manager or facilities contact. We note room types, surface materials, patient flow patterns, any infection control requirements specific to your practice type, and the schedule that works within your patient hours. For facilities within our standard service area, this walkthrough is at no charge.
Written scope of work
Within two business days of the walkthrough, we deliver a written scope covering every room and surface in the cleaning agreement, the products to be used, dwell times for disinfectants, frequency of each task, and scheduled visit times. Nothing is verbal-only. You have a document you can reference, audit against, and hand to a licensing inspector.
Crew assignment and briefing
We assign a consistent crew to your account — the same people, not rotating staff from a pool. Before the first clean, they receive a briefing on your facility-specific protocol: space layout, equipment to avoid, any PHI handling reminders, and your preferred communication contact if a question comes up during a visit.
First clean
The first clean follows the written scope. Depending on facility size and prior cleaning history, we may schedule an extended first visit to address any backlog before moving to the recurring schedule. We notify you when the crew arrives and when they leave.
30-day check-in
After the first month, we schedule a call or brief in-person meeting with the practice manager. We review what's working, what needs adjustment, and whether the scope requires changes as your patient volume or hours change. We document any scope changes in writing before the next visit.
Response time commitment
If you contact us during business hours (Mon–Fri 8:30am–5:00pm) with a concern about a recent clean, we respond the same day. For after-hours messages, we respond on the next business day. We do not offer 24/7 emergency cleaning — if your facility needs that level of response, we'll say so clearly at intake rather than oversell the service.
